*** AS OF MARCH 2022, YOU CAN IGNORE THE INSTRUCTIONS ON THIS PAGE FOR REQUESTING WORK. YOU SHOULD USE THE DIAZ PORTAL SITE TO ENTER YOUR AVAILABILITY. IF YOU HAVE ANY QUESTIONS, PLEASE REACH OUT TO EDITORS@DIAZTRANS.COM ***
We use Google Drive to consolidate information about transcriber availability, assignments, invoices, and feedback.
However, you will NOT need a Google account to access your Availability Spreadsheet.
On your personal spreadsheet (which is shared with you once you are onboarded) there are four tabs:
– This Week’s Availability
– This Week’s Assignments
– This Month’s Invoice
– Feedback
The only tab that you are allowed to edit is “This Week’s Availability.” This is where you put down your requests for work. We expect all transcribers to request work a minimum of 3 times a week, with the work request totaling a minimum of 180 minutes (a smaller amount is expected when you first start out).
Availability should be written as follows:
Overnight work = X (just the number of minutes)
Other work =
Due Mon – X
Due Tue – X
Due Wed – X
Due Thu – X
Due Fri – X
Spreadsheet and Work Assignments FAQ
1. When I fill out my availability in Google Sheets, how do I ensure that someone sees it?
After you enter your availability on the spreadsheet, it’ll automatically update in NCC’s (the subcontractor who handles the transcriber assignments) system within a few hours. There’s no need to email them your availability separately. The exception to this would be if you need to make a change that same day – for example, you requested work on Tuesday; Tuesday morning you realized you could no longer take any work that day; in that case, we’d ask that you email transcribers@nccsite.com ASAP to let them know about the change due to the fact that their system can take a few hours to update.
2. After I designate my availability, do I get to choose the work I want to transcribe, or does someone choose for me depending on deadlines and what is available?
The work will be assigned to you. You’ll receive an email (usually early afternoon) with the assignment details (name, length of audio, any special instructions).
3. When should I expect to see my assignment email?
It can range anywhere from noon to 5:00 PM EST, depending on the volume of work available that day or when the work becomes available for NCC to assign. Generally, you should see your assignment email by 3:00 PM EST. While we try to ensure all transcribers receive work when they request it, in rare cases there won’t be enough work available to assign, in which case you’ll receive a “no work” email.
